Conference Calls Using ZAC

Zultys Advanced Communicator • Scheduling and hosting conferences
Applies to: CRL staff with ZAC  |  Category: Phone & Voicemail  |  Last updated: 2026-07-17

Use Zultys Advanced Communicator (ZAC) to schedule and host conference calls from your CRL PC. If you don’t have ZAC installed, request it from the IT Team through HelpSpot.

Open and sign in to ZAC

Open the ZAC app on your CRL PC:

Sign in with your CRL login credentials:

  • Username must be all lowercase.
  • Ensure Use Windows Credentials is unchecked (slider to the left).

Host tip: If you’re the host and may need to leave the conference before it ends, uncheck “End call on host leave” (shown above). This is common for schedulers who start meetings and then leave to handle other duties or start additional meetings.

Create a conference

  1. Click the Conference icon.
  2. Click Schedule.
  3. Enter the conference name, frequency (type), date, time, and duration.
    • Leave Web Collaboration set to NONE.
    • Duration is for scheduling purposes only — the call will not end after the selected number of minutes.
  4. Set the End call on host leave option as appropriate (see the host tip above).
  5. Click Save and Invite. An email template (“Meeting Maker”) with the conference details opens — add recipients and send it.
  6. Or click Save to create the conference without sending invites.

Example of the Outlook calendar invite:

Start the conference

  1. Click the conference you want to start.
  2. Click the start icon: Start icon
  3. The audio connects.
  4. Music plays if only one participant is in the meeting.

Manage participants

As the conference owner, once the conference has started you can mute or disconnect participants. Click the icon to display the Participants menu, then click Participants:

Once a conference is created, you can start, edit, invite users to, or delete it.

NAVAIR support

To set up a recurring conference, eligible users must contact the NAVAIR National Help Desk. The help desk schedules the conference and then sends the Meeting Maker, including a dial-in number and conference ID.
