1.1. DoD Email Encryption / Digital Signatures FAQ

Frequently Asked Questions Regarding DoD Email and Encryption/Digital Signatures on a CRL Asset

NOTE: Third-party encryption certificates should not be considered the first option for DoD communications and will only be issued by the CRL IT Team in special circumstances on a case-by-case basis. Please refer to this FAQ and consult your government contact for guidance on resolving any data compliance issues.

Q: How do I read encrypted e-mails from a DoD source (e.g., FlankSpeed, Army365) on my CRL-issued PC?

A: Email encryption with DoD systems can be complex. Here’s what you need to know:

  • Outlook Web Access (OWA): If the encrypted email is sent from a DoD Outlook Web Access (OWA), it can be read within the corresponding DoD OWA environment.
  • Outlook Client: If the encrypted email is sent from the Outlook client on a DoD-issued machine, it must be read using the Outlook client on another DoD-issued machine.

Important: When encryption and digital signatures are required, you should use your authorized DoD accounts (e.g., FlankSpeed) rather than your CRL corporate account to avoid compatibility issues.

Example: If an NMCI user sends an encrypted email via the Outlook client and the recipient attempts to open it on a CRL-issued PC using OWA, they may encounter issues. This is a known problem, and as of August 29, 2024, no solution has been provided.

Q: Are there any workarounds?

A: Navy/FlankSpeed Users: Navy contractors can use the Nautilus Virtual Desktop (NVD) to access the NMCI network, which allows them to handle encrypted emails and other tasks that require NMCI network access. Nautilus Virtual Desktop (NVD) FAQ

Q: What is Nautilus Virtual Desktop (NVD)? 

A: NVD is a Navy Flank Speed service built for users who do not have access to government-furnished equipment (GFE) and want the ability to use key applications such as MS Outlook, Teams, and other installed applications. NVD will allow you to maintain your NMCI account as well as have a common workspace for your Navy career. Similar to your personal computer, NVD is your space to set favorites, organize documents, access websites, access Teams, and send emails. 

Q: How do I get a Nautilus Virtual Desktop (NVD) account

A: Anyone with a Flank Speed account can request an NVD account by submitting a request using the link here:

Please note: Access to and completion of the NVD request form requires the use of your FlankSpeed account. For additional details, consult with your team or government lead.

 Account creation can take 1-3 days, depending on current demand levels.

Q: Can I send and receive encrypted emails using NVD on my CRL PC? 

A: Indeed, NVD resolves the email encryption issue by enabling users to access the NMCI environment. This allows contractors to exchange encrypted emails with individuals using NMCI machines.

Upon accessing the NVD portal, it's akin to operating an NMCI machine. Within this portal, you can utilize Outlook, Teams, and various internet browsers. 

The portal may be necessary for:

1. Reading and sending encrypted emails.
2. Downloading or uploading documents as needed.

Managing files attached to emails can be challenging, or certain sites may restrict download/upload functions unless you're on the NMCI network (such as SharePoint Online in the future).

Essentially, if you encounter obstacles due to not being on the NMCI network, the NVD portal provides a solution by granting network access.

It's important to note that the portal is enclosed; copying and pasting to or from it is not possible. However, you can transfer documents to your OneDrive through the portal and then access them via Flank Speed.

Q: How do I install NVD on my CRL PC? 

A: Check the attachment on this FAQ for installation instructions. 

Note: You may need a CRL IT Administrator with elevated privileges to complete the installation. If this is the case, submit a request for help using this link: Submit a Request for Assistance (helpspot.com)  

TROUBLESHOOTING NVD ERRORS:

If you encounter something like the attached image or if you have trouble signing in and receive an error stating “Something went wrong, we couldn’t sign you in,” which may produce a generic error code of ‘CAA20002,’ here is a solution:

Solution:

  • Click on the 3 dots at the top right corner > About  

 

  • Reset user data

 

  • Navigate back to the three dots, select 'Subscribe with URL', enter 'https://rdweb.wvd.azure.us/api/arm/feeddiscovery', and then click 'Next'.
  • Try logging back in. If you encounter problems with encrypted emails or website access, repeat the process, but this time choose to Subscribe without using the URL.

Frequently asked questions regarding CRL Teams and DoD Teams

Q: Can I use CRL-H Teams to attend a DoD meeting ?

A: As of 29 Aug 2024, the CRL-H local TEAMs application WILL NOT be available with dual CRL and DoD (FlankSpeed, Army 365, etc.) logins. This means your best bet is to use the TEAMS web version for your DoD Teams meetings. 

- The best way to accomplish this is to open an "InPrivate" browser in Edge, log into your DoD account then launch TEAMs in your browser.
