CRL Printing – Secure Release with QR Code
How-To & FAQ
1. What is “secure release” printing?
Some CRL printers use secure release. Instead of printing immediately, your job is held in the cloud until you walk up to the printer and release it. This helps protect sensitive documents and reduces wasted printing.
One way to release your job is by scanning a QR code label on the printer with the Microsoft 365 mobile app on your phone.
2. What you need before you start
To use QR code secure release at CRL, you’ll need:

A CRL work account

A printer at CRL that:
-
Has a QR code label attached to it

The Microsoft 365 mobile app installed on your phone:
-
Android: version 16.0.16501 or later
-
iOS: version 2.76 or later
-
-
Internet/data connection on your phone
-
Your document already sent to that printer from your CRL PC or virtual desktop
3. Step 1 – Send your document to a secure-release printer
From your CRL Windows PC (or other CRL-managed device):
-
Open the document or email you want to print.
-
Go to File > Print (or the print option in that app).
-
Choose the appropriate CRL printer that uses secure release (your manager or IT will tell you which one to select).

Select any print options (copies, pages, color, etc.).
-
Click Print.
Your job is now in a held state in Universal Print. It will not come out until you release it at the printer with your phone.
4. Step 2 – Release your job at the printer using the QR code
When you’re ready to pick up your document:
-
Walk up to the printer that you selected when you printed.
-
Make sure you are signed into the Microsoft 365 app on your phone with your CRL work account.
-
Android: if your phone uses a work profile, make sure you’re using the work profile version of the Microsoft 365 app.

On your phone, open the camera:
-
iOS: use the regular Camera app.
-
Android: use the Camera app in your work profile if you have one.
-
-
Point the camera at the QR code label on the printer.
-
When prompted, open the link in the Microsoft 365 app.
-
You will see a confirmation screen in the app:
-
Check that the printer name/location shown in the app matches the label on the printer.
-
If it does not match, cancel and verify you are at the correct printer.
-

The app will show your pending print jobs for that printer.
-
Select the job(s) you want to release.
-
Confirm to release the job.
The printer should now print your document.
5. Quick tips for a smooth experience

Make sure your phone’s data or Wi-Fi is on.
-
Confirm you are logged into the correct CRL account in the Microsoft 365 app (see FAQ below).

If you do not see your job, double-check:
-
You printed to the same printer you’re standing at.
-
You are signed in with the same CRL account you used on your PC.

6. FAQs – Microsoft 365 app & accounts
6.1 How do I check if I have a supported Microsoft 365 app version?

Android
-
Open the Google Play Store.
-
Find the Microsoft 365 app.
-
Scroll down to About this app > App info > Version.
-
Make sure the version is 16.0.16501 or later.
-

iOS (iPhone)
-
Go to Settings on your iPhone.
-
Scroll down and tap Microsoft 365.
-
Look in the About section for the Version.
-
Make sure the version is 2.76 or later.
-
If you are on an older version, update the app from the app store.
6.2 What if I’m not logged into my CRL account in the app?
You must send and release the print job using your CRL work account, not a personal Microsoft account. If you try to release a job from a personal account, you may get an error prompting you to sign in with your corporate account.
Fix:
-
In the Microsoft 365 app, tap your profile (top left).
-
Verify the account shown is your CRL account.
-
If not, sign out of the personal account and sign in with your CRL credentials.
6.3 What if I have multiple corporate accounts?
If you have more than one work/school account in the Microsoft 365 app, make sure the correct corporate account (your CRL account) is selected before scanning the QR code.

In the app, tap your profile picture and confirm the active account.
-
Switch to your CRL account if needed, then scan the QR code again.
6.4 What if I am logged into both personal and CRL accounts in the same app?
If you are signed into both a personal and CRL account in the same Microsoft 365 app, your phone might open the app under your personal account when you scan the QR code from the default Camera app.
Fix:
-
After the app opens, tap your profile picture and confirm that your CRL account is the active one before releasing the job.
6.5 What if I have two Microsoft 365 apps on Android (personal + work)?
Some Android devices can have two installations of the Microsoft 365 app (for example, one in the personal space and one in the work profile). In this case, scanning a QR code might open the personal version of the app by default.
Options:
-
Use the work-profile Camera app (if available) to scan the QR code so it opens the work version of Microsoft 365.
-
Or adjust your default app settings so the QR link is not forced into the personal Microsoft 365 app (see your phone’s “Default apps” / “Opening links” settings).

6.6 Can I use my personal phone?
Yes, you can use a personal phone as long as you can install the Microsoft 365 app and sign in with your CRL account under CRL’s mobile and Intune policies.
If you are blocked from signing in or installing the app, contact CRL IT.
6.7 Does this work with iPhones?
Yes. Universal Print secure release with QR code works with iOS using the Microsoft 365 app version 2.76 or later from the App Store.
6.8 What if my phone camera is not working?
To use QR code release, you need a working camera on your phone to scan the QR code. You can either:

Use the phone’s Camera app, or
-
Use the Scan QR Code feature inside the Microsoft 365 app.
If your camera is broken or unavailable, you will need to:
-
Use an alternate printer that does not require QR release, or
-
Work with CRL IT to find another method that meets secure printing requirements at your location.
7. FAQs – Printing behavior
7.1 Nothing printed after I scanned the QR code. What should I check?
Try the following:
-
Confirm you printed to the correct printer (printer name matches the label and app).
-
Make sure you are signed into the same CRL account you used when you printed.
-
Make sure your job is still in the held jobs list for that printer.
-
If it still fails, open a HelpSpot ticket and include:
-
Printer name
-
Date/time you printed
-
Screenshot of any error in the Microsoft 365 app, if possible.

8. Getting help at CRL
If you run into issues with Universal Print secure release or QR codes:

Go to the CRL HelpSpot portal.

Open a ticket under IT / Printing.
-
Include:

Printer name and location
-
Screenshot or description of the QR code label
-
Any error messages from the Microsoft 365 app

Date/time of the problem
